Requesting Administrative Access

To change your club's listserv administrator, email Cindy Zimmerman at [email protected].  Because you will have access to private alumni data (email addresses) you will be required to review and sign an access & compliance form.

Please review our instructions on how to utilize your club's listserv.

Please always use your club-specific email template provided by the Association when sending listserv emails. This template helps raise the awareness of your club and the Association, strengthen the relationship between them, and promote Association membership.

Email Frequency and Timing

Time your emails carefully to increase the chances that your recipients read them (read more here about timing, open rates, and click-through rates). To avoid the risk of recipients unsubscribing due to too many club emails, the Association recommends that (a) large and active clubs send no more than one listserv message per week and (b) small and less active clubs send no more than two  listserv messages per month.

Email Length

The Association generally recommends that club listserv messages contain less than 1,000 words. While a club should include enough content to accurately convey its message, by including too much content a club runs the risk of the message (a) overwhelming its recipients and not being read, (b) being filtered into the recipients' spam or junk folders, and/or (c) displaying improperly by some email clients. To make your listserv messages more readable and visually appealing, consider the following:

Your listserv message is generally not the best place to include the full description of an event. Use short text blocks (75-100 words) with a strong call to action and a link to your club's website for more information. In addition to being more visually appealing, this technique will likely increase your web traffic.

To make your emails more interesting, break up large blocks of text with headlines or images (though do not overuse images).
