Email - Marketing Cloud Instructions

To change your club's email administrator, email Cindy Zimmerman at [email protected].  Please note that because the AAUM pays for each license to send messages, your club is limited in the number of administrators you may have.  You may not share your credentials with anyone else.  Once your account is created you will receive an email with a temporary password and instructions to log in and reset your password.  The username provided to you will not change. 

Note!  It is recommended that you use Chrome as your browser.  You may experience some difficulties if you are using Safari.  To create a message, log into marketing cloud.   https://mc.exacttarget.com  MarketingCloud will email you a verification code to enter. 

You will need to install a Salesforce Authenticator mobile app.  Here's how to Connect Your Salesforce Account to Salesforce Authenticator.  You may want to Back Up Your Connected Accounts in the Salesforce Authenticator Mobile App in case you lose, damage, or replace your mobile device, you can restore your Connected Accounts on another mobile device.

When you log in for the first time you will see a Welcome to the new Email Overview Page.  At the bottom you can click close.  If that does not work to close the window, click anywhere in the image and hit Esc.  Do that twice (click Esc, click Esc) and it should disappear.



You'll most likely see a Warning page as well.  Click Got it.  You should not see either of these again the next time you log in

Creating a Message

Once you've logged into Marketing Cloud, go to Email Studio,  Email.  Click Content Tab.  

On the top right hand side, select Create, Email Message.  



Make sure Template is selected.  Click on the Saved Tab,  Folders, Shared, All Shared Content.  

Click on your  Template.  Click Select on bottom right.  Please note that the template is dynamic and will bring in your club specific information (club name, website, etc) later in the process.  You will not see that while you create your message, but will see it when you preview & test your message.  

Give your message a name.   Please note you may not use special characters in the name of the email.  On the right hand side click Save.  Click Next. Add in your Subject Line and preheader (optional). A preheader is the text following the subject line when an email is previewed.  A preheader is one of the first three items a subscriber sees when viewing an email.   Save your Subject Line.    

**Do not change or remove the AAUM branded header & footer from your messages**

On the left you will see several content blocks.  You may drag over A Text block or an Image Block to the body of your message.  You also have other content block options under Layouts, should you wish to have an image block next to some text, or 2-3 blocks of content next to each other.  Drag any block you wish to use over into the body of your email.  You may add as many content blocks to your message as you like. 



Once you have dragged the content block into the body of your message, click on the block to enter your content.  You may select A for text or Image Block to insert an image.  Or you may select the drop down arrow should you wish to delete or duplicate your text.  If you are copying/pasting text from another location, it is suggested you paste the text in as plain text and change the formatting after it's pasted in.  Click Done Editing when you are finished editing your text. 

Hyperlink/Box color

Adding in a button or a hyperlink and want the color to match the blue in the template?  Use hex code #00274C.

Maize Line Break

If you wish to insert a line break in between your content blocks, drag the HTML content block onto your message and enter the following code:  <hr align="left" color="#fdcc0f" size="3" width="700">

 

Duplicating a message

You may also duplicate a previously sent message.  Select Email and then Content.  You will see all previously sent messages.  Click the arrow on the right hand side and select Duplicate.  Give your new message a name and save.  

Images

You may upload your own images or select an image from the library.  Drag the Image Block into your message.  Once there, click on the Image Block to edit.  To add an image click Browse to open the Content Builder.  In the Content Builder you can select Create, Upload on the right hand side to upload an image from your computer to the Local section.  Your images will be saved there for future use.  Or you can click on Shared to use images the AAUM has uploaded for your use.  Categories of these images include Community Service, Career, Tailgates and Athletics.  

If you wish to have images in the middle of text, you will need to have a Text Block, Image Block, and then another Text Block.  You cannot drag/drop an image in the middle of text.  

The image you enter will default to "Scale to fit" size, which may be large and not visually appealing.  You can resize your image.  Click on your image and on the list you'll see some options for your image.  Uncheck the 'scale to fit' box and enter in a width that is more appealing.  You can also add alternative text or a link that's attached to the image there.

Preview and Test

Once your content and images have been added to your email, click Save and then Next on the upper right hand side.   

Click on the Folder at the right hand side. Note!  You MUST select a subscriber from your list BEFORE you can send a test message.  If you do not do this step you will get an error. 

Open the Shared Data Extensions Folder.  Select your your De_Club_ list and select a random Subscriber Key at the right.   Each person on your list has a unique Subscriber Key associated with their record. Click Select in the lower right hand corner.  

Because the template is dynamic, doing this step will bring in your club-specific items into the template (club name, website, etc.) for your test. This person will not receive a copy of your test.  

Select the envelope icon to indicate the recipients that should receive the test.  You may add multiple recipients.  Click Send Test at the bottom of the page. Click "Confirm and Send" to sent test message.  You should see a green box confirmation the test was sent. Click on Content to edit your message or send it. 

Editing A Message

To edit an existing message, select Email Studio, Email.   Select the message you wish to edit from Recent Items.   If it doesn't show there, click on Content.  Once you select your message click Edit, Edit Content located on the upper right hand side of the page.  

Send your message

Once you are done making changes to your message,  navigate to Email Studio, email by hovering at the top of the page.  Click on Email.  

You may see your message under Recent Items.  If not, click on the Content tab.  Next to the message you wish to send there is a drop down.   You may also click on the message to open the message and edit some more or send from there.   

Click the Send button located on the upper right hand side of the page.  Your sender and delivery profile have been set up for you so you don't need to change anything.  Click Next or Select Audience.  Ignore My Lists, Data Extensions and Salesforce Data Extensions 

Select Shared Items, Shared Data Extensions (click the arrow to open the folderand select your club folder (i.e. Club-Orange County)

Select your DE_Club_Clubname_Email_List to send to by dragging it over into the Targeted box on the right.  

DE_Club_Clubname_Email_List = Lists of all alumni in your area to receive the message.  Salesforce assigns alumni & members to your club based on their zip code.  Alumni who have updated their address will automatically be added to your club on a regular bases and will start receiving your messages within a week.  All alumni outside your club area that wish to receive your messages will be added as well.

Review and Send.  You may preview how your message will look either on a desktop or on a  mobile device.  

If you are satisfied with your message, check the "This information is correct and this email is ready to send" box on the left.  Send

Send Timing.  You may select to send your message immediately or schedule it to go out in the future.  While you cannot tell it to resend the message multiple times (every 7 days for example), once you've sent your message you can select that message again and schedule it to go out again in the future.  You do not have to recreate your message from scratch.   Please note that the time you select is Eastern Time.  

You may cancel a scheduled send.  On the right hand side of the Email screen click on the Pending tab. Click on the name of your scheduled send and select Cancel Send.  You may not edit an email that has been scheduled to go out.  You must first cancel the existing send.  Then you can make changes to the message ad reschedule it. 

Seeing Statistics on Sent Messages.

You have the option of looking at statistical information on your sent message.  Navigate to the Email Studio and select the message from the Recently Sent Emails list.  You can see information on how many people opened your message or clicked on a link by clicking on the Click Activity tab.  

To see an overview of all your messages recently sent, or view more detail on a different message, click on the My Tracking folder.  

How do alumni get added to our list?

Alumni are assigned to your club based on their zip code.  Anyone moving to your area will be added automatically.  Lists are updated throughout the day every Monday.  Alumni who are in your area but have not updated their information can do so by updating their profile (log into umalumni.com), call the AAUM at 800.847.4764 or by submitting their information here.  Alumni outside your area and non-alumni fans & friends may request to be opted in by filling out the same form.  Stand alone emails with no identifying information will not be added, they should submit their information via the form so we can create an account for them.  We MUST have a verifiable mailing address to be able to create the account.
