Email Best Practices
LISTSERVS
Each club or affiliate has access to an email listserv that is maintained by the Alumni Association. A listserv is an email tool that allows club or affiliate leaders to send an email to a group of alumni who have opted-in. Anyone with access to the private alumni data (email addresses) will be required to review and sign an access and compliance form. Listserv administration is arranged through the global engagement team. Please email your liaison for more information. Anyone interested in opting into our club listservs can opt in by going to the club finder and selecting the club or clubs they would like to receive emails from. Once on the club’s webpage they can subscribe to that club/affiliate list.
EMAIL GUIDELINES
Always use your email template provided by the Alumni Association when sending listserv emails. This template helps raise the awareness of your club/affiliates and the Association and strengthen the relationship between them. Email Frequency and Timing Time your emails carefully to increase the chances that your recipients read them. To avoid the risk of recipients unsubscribing due to too many emails, the Alumni Association recommends that (a) large and active clubs/ affiliates send no more than one listserv message per week and (b) small and less active clubs/affiliates send no more than two listserv messages per month.
EMAIL LENGTH
We generally recommend that messages contain fewer than 1,000 words. While the email should include enough content to accurately convey its message, too much content may overwhelm recipients and may be filtered into the recipients’ spam or junk folders.
