During the Event

Prepare a day-of-the-event plan, including the running order of activities and speeches, which will help coordinate volunteers and guests. The plan should include the contact information (including cell phone numbers) for all volunteers, speakers, hosts, and the venue.

At most events, one or more club leaders should man a registration table at the entrance to the event space. The registration table should include membership applications (.pdf), name tags, and other relevant materials (e.g., a list of upcoming club events). We also recommended you include your club's banner or flag on or next to the registration table, unless another location would provide it higher visibility.

When attendees arrive at the registration table, a club leader should (1) welcome them to the event; (2) verify that they pre-registered; (3) request they include their contact information on a sign-in sheet (.pdf, .doc, .xls) and collect their payment onsite if they did not pre-register (assuming adequate resources and capacity); and (4) provide them a name tag and ask them to include their name and year of graduation (if it's a career-oriented event, you may also ask for their affiliated industry).  Officers who have requested access to the Member/Alumni Checker and Alumni Community Events Viewer and signed the compliance form have the option of 'checking in' attendees who pre-registered for the event.  

During the event, please designate one or more club leaders to thank all Association members in attendance, as it is their dues that make the club's programming possible.
